Instructions for Submission

Any researcher who is working for an institution located in the ASEAN region or Japan can make a submission to the forum.
Please click on the Submission button at the bottom of this page to proceed to entering your information and submitting your materials.

Important Dates

1. Deadline for abstract submission:

September 15, 2025

2. Notification of acceptance:

October 15, 2025

3. Uploading presentation materials:

October 30- November 10, 2025

4. Program open:

November 14, 2025

Notes

1. Abstract (Download form)

   Requirements for the abstract file
   - Pages: No more than 3 pages
   - Format: PDF only
   - File size: No more than 5MB

   Abstracts should be submitted by September 15, 2025, through our website in addition to filling in the registration information. Submissions of abstracts after this date will NOT be accepted. Please note that the submission process is to be carried out entirely on this website. Do not email your submissions. The author submitting the abstract will automatically be registered as the Correspondence Author (primary contact author) and receive all communications regarding the submission.

2. Re-submission of Abstracts

   You can revise your abstract after the first submission and re-submit it with your password as long as it is before the submission deadline, September 17, 2025. Please login and re-submit from My page "Paper Submission".

3. Materials for Presentations

   Presenters will be required to submit a PowerPoint presentation (PDF). (Download template)
   The size of the PowerPoint (PDF) should be no more than 10MB.
   You may submit additional supporting files (mp4, mov, URL), if you wish.

   Requirements for video files. (If submitting a video)
   - Length: no more than 10 minutes.
   - Format: mp4 or mov
   - File size: No more than 130MB

4. The Program will open on November 14, 2025. Please check and see if your oral presentation is scheduled on November 19, 2025.
5. Those who submit an abstract and are not selected as speakers may, if they wish, display their posters on-site on the day of the event. The acceptance period for poster exhibits on-site will be from October 30 to November 7, 2025. Contact the secretariat for information on poster preparation on-site and venue management.
